Motorhome Hire Agreements

 

This Motorhome Hire Agreement is entered into between Route 66 Motorhomes Limited (“Owner”) and [Hirer] (“Hirer”) (collectively the “Parties”) and outlines the respective rights and obligations of the Parties relating to the Hire of the Motorhome.

 

1.    Identification of the Hire Vehicle

 

    The Owner hereby agrees to hire to the Hirer a vehicle identified as follows:

 

    Make: Chosen Hire Vehicle 

 

    Model: Chosen Hire Vehicle 

 

    Year: Chosen Hire Vehicle 

 

    Registration: Chosen Hire Vehicle 

 

    Colour: Chosen Hire Vehicle 

 

    (Hereinafter referred to as “Vehicle”)

 

2.    Rental Term

 

 

The term of our Hire Agreement runs from the date and hour of Vehicle pick up as identified below until the return of the Vehicle to the Owner, and completion of all terms of this agreement by both Parties.  The Parties may shorten or extend the term of hire by mutual consent.

 

3.    Booking Terms

 

Seasons:

.

Low Season:    27th October until 2nd March inclusive

Mid Season:    3rd March until 4th May and 8th September until 26th October inclusive.

High Season:    5th May until 7th September inclusive.

 

4.    Contract

 

The hire of the Vehicle is a contract between the Customer and the Owner and the Customer pays all money directly to the Route 66 MotorHome Hire.

 

5.    Reservations

 

A booking deposit of £200 per week of hire is payable to the Owner at the time of making a booking reservation and will be deducted from the total hire charge.

 

This deposit is non-refundable in the event of cancellation (please see our Cancellation Policy no 15 below).

 

A confirmation of the booking will be emailed to you.

 

The balance is due 1 month prior to commencement of hire.  Any late payment allows the Owner to cancel the booking.

 

6.    Security Deposits

 

The Owner will ask the Customer for a security deposit before you collect the Vehicle.

 

7.    Insurance

 

Cover:  Full comprehensive insurance, with breakdown cover, which includes Continental Green Card.

 

Age:  In order to hire one of our motorhomes and campervans, you must normally be between the ages of 25 – 70 years. There is a £75 supplement for drivers under 25 years of age. There is some latitude in this rule depending on the driver's safety record and health, etc, however only 2nd driver may be under the age of 25.

 

If you or any additional driver have had an accident in the past 10 years, please inform us for insurance reasons as there may be added costs.

The following must be produced prior to commencement of hire:

 

  • Current full driving license

  • Current passport

  • Two utility bills or bank statements

  • DVLA license check code

 

If the Hirer has any more than two points on their driving license we need to know prior to commencement of hire. Depending on circumstances, our insurers may be able to be flexible in this regard.

 

All drivers must be present when the vehicle is picked up.

 

The excess on our vehicles varies between £500 and £750, depending on the insurance

company and the driver's record.  The security deposit described above is designed to cover this

excess.

 

Travel insurance is not included. It is the Hirer’s responsibility to provide their own holiday insurance to cover personal items and belongings and personal injury in the event of an incident whilst in possession of the Vehicle..

 

The Vehicle is under 3,500kg and so is available to all drivers having a full B category license.

 

For insurance purposes our vehicles are fitted with trackers with the ability to remotely immobilise.

 

8.    Usage

 

Our vehicles may not be used in stop-start situations, such as support vehicles for any type of

charity run, walk, bike ride, etc.

 

Pet Policy:  The owner is willing to accept clean well-behaved pets, on the basis that the Hirer is reminded that they would be responsible for any damage done by the pet. There is a £40 supplement for dogs and Owner reserves the right to charge an extra £35 cleaning fee if there is a lot of hair left in the van on its return. 

 

Fines & Penalties or Congestion Charges:  The Hirer shall settle all fines and penalties incurred during the term of hire.

 

Toilet (where applicable):  The Hirer is responsible for emptying the toilet and waste tanks prior to returning the Vehicle. Failure to do so will incur a charge of £50.

 

 

9.    Smoking

 

We operate a strict NO SMOKING policy in all our vehicles.

 

10.    Breakdown/Accidents/Incidents

 

Every effort is made by the Owner to ensure the Vehicle is in a safe and roadworthy condition prior to each and every hire.

 

In the event of a breakdown, the Owner will refund the hire charges for any complete days loss of the use of the Vehicle.

 

The Vehicle owner shall be under no liability for any third party claims or damages in connection with or in consequence of, any accident or breakdown.

 

All our vehicles have RAC breakdown insurance cover. In the event of a breakdown, contact the number given to you by the owner during the induction.

 

Approval must be obtained from the Vehicle owner in respect of repairs and replacements.

 

The maximum height of the Vehicle is clearly stated. Any overhead damage is the responsibility

of the Hirer. 

 

Tyre damage including punctures, and damage to the windscreen and windows are the customer's responsibility.

 

Any call out charges due to negligence on the part of the Hirer; for example, the cost of flat batteries,

wrong fuel, lost keys and the likes will be their own responsibility.

 

11.    Fuel/Gas/Oil

 

A full tank of fuel will be provided with the Vehicle at the start of hire and the Hirer is expected to return the Vehicle with a full tank of fuel.

 

If the Vehicle is brought back with less fuel, it will be topped up by the Owner and the cost of fuel charged to the Hirer’s account at the going rate per litre, along with a £35 surcharge.

 

It is the Hirer's responsibility to ensure that oil and water levels & tyres are checked on a

daily basis.

 

A gas cylinder will be supplied at the time of hire and the cost of any refill during the hire period

is refundable by the Owner on production of a receipt.

 

 

12.    Mileage

 

Unlimited mileage is allowed in the United Kingdom. When travelling abroad, the Hirer is to provide an estimate of intended mileage at the time of hire. There will be a surcharge of 35p / mile that this estimate is exceeded.

 

The Hirer agrees not to part with the possession or control of the Vehicle hired and not to

allow any person other than the agreed drivers to drive the Vehicle.    

 

The Hirer also agrees not to carry more passengers than the seating capacity of the Vehicle,

and not to use the Vehicle for carrying paying passengers or goods for hire.

 

13.    Pick Up / Drop Off

 

Induction and collection time for the Vehicle is to be agreed with the Owner in advance. You should allow one hour for a detailed explanation of how everything works. The explanation cannot be missed even if it would make you late for a ferry or other appointment.

 

The Vehicle is to be returned at the agreed time, otherwise there is a risk of driving without

insurance, and of inconvenience to the next user of the Vehicle.

 

If you encounter or look likely to encounter unavoidable delays, you MUST contact the Owner at the earliest opportunity to ensure that insurance cover is maintained.

 

A £25 per hour charge will be made for any of our vehicles returning after the agreed time.

 

14.    Car and Luggage Storage

 

We offer a car storage facility but these are left at the Hirer / car owner’s own risk.

 

15.    Cancellation Policy

 

More than 6 weeks before the hire: Loss of deposit only.

4 - 6 weeks prior to start of hire: 50% loss of the total hire charge and deposit.

28 days or less: 100% loss of the total hire charge.
